How Softra collects, uses, and protects the information entrusted to us by customers, employees, applicants, and visitors.

Overview

Softra provides HR, payroll, and recruitment software to organizations. This notice explains what information we collect, how we use it, and the choices available to customers and their users. Customer organizations decide what employee, applicant, and payroll information to enter into the platform and act as the controller of that information. Softra acts as the service provider that stores and processes it on their behalf.

Information we collect

Depending on how Softra is used, we collect:

  • Account information such as name, work email, role, and authentication details.
  • Organization information such as company name, locations, departments, and configuration settings.
  • Employee information entered by customers, including employment records, compensation, time, leave, and performance data.
  • Applicant information submitted through careers pages, including contact details, resumes, application answers, and interview notes.
  • Payroll information such as pay schedules, earnings, deductions, statutory contributions, and pay run history.
  • Support communications and product usage information generated by using the platform.

How we use information

We use information to:

  • Provide and operate the platform for customer organizations and their users.
  • Secure the service, prevent abuse, and support account recovery.
  • Respond to support requests and communicate about the service.
  • Improve reliability, performance, and features.
  • Meet legal, tax, and regulatory obligations that apply to Softra.

Softra does not sell personal information.

How information is shared

Softra may share information with:

  • Service providers that help operate the platform, such as cloud hosting, email delivery, and error monitoring, under written agreements.
  • Authorities where required by law or valid legal process.
  • Third parties at the direction of the customer organization or the individual user, for example when a customer chooses to integrate Softra with another system.

Customer data and employee data

Employee records inside a customer's Softra workspace belong to the customer organization. If you are an employee and want to access, correct, or delete your record, contact your employer first, since they administer the data. Softra will support customer organizations in responding to those requests.

Applicant data

Applicant information submitted through a customer's careers page is used to evaluate applications for that customer's roles. The customer organization decides how long to keep applicant records and how to respond to applicant requests. Applicants can also contact Softra if they cannot reach the employer.

Payroll and HR data

Payroll data, including pay runs, statutory calculations, and payslips, is processed on behalf of the customer organization. Access to payroll data inside the platform is controlled by role-based permissions configured by the customer.

Data retention

We retain information for as long as an organization uses Softra and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Customer organizations can request deletion or export of their data in accordance with their subscription agreement.

Security

Softra uses role-based access, organization-level data separation, audit history, and secure file access controls to help protect HR and payroll data. No system can be guaranteed to be fully secure, and customers are responsible for managing user access and permissions inside their own workspace.

International users

Softra may process information in countries other than the one where the user or their organization is located. Where required by law, appropriate safeguards are used for cross-border processing.

Your choices and rights

Depending on where you live, you may have rights over the personal information Softra holds about you, including the right to access, correct, or request deletion of it. If your data was submitted by an employer, we will direct requests through them. You can also manage cookie preferences on the Cookie preferences page.
