What is and is not permitted when using Softra, and how we enforce it.

1. Scope
This policy applies to every customer, administrator, employee, applicant, and visitor who uses Softra. It forms part of the Terms of Service.
2. Prohibited content and conduct
- Storing or processing data the user is not authorized to handle.
- Unlawful, defamatory, harassing, discriminatory, or fraudulent content or communications.
- Content that infringes intellectual property or privacy rights.
- Using employee or applicant data for any purpose other than legitimate employment and hiring administration.
- Sending unsolicited bulk email or using the platform's email features for marketing to people who did not apply or work for the organization.
3. Platform integrity
- No attempts to bypass authentication, permissions, workspace separation, rate limits, or usage limits.
- No scraping, automated bulk extraction, or load that degrades service for others.
- No reverse engineering, decompiling, or copying the platform, and no use of it to build a competing product.
- No malicious code, penetration testing without written authorization, or interference with monitoring and logging.
- No sharing of credentials or reuse of a single named seat by multiple people.
4. Payroll and statutory integrity
- Do not enter knowingly false employee, compensation, banking, tax, or statutory data.
- Do not use the platform to conceal payments, evade tax or pension obligations, or misclassify workers.
- Approve pay runs only with the authority to do so under your organization's controls.
5. Security responsibilities
- Keep credentials confidential and enable multi-factor authentication where offered.
- Grant the minimum role each user needs and remove access promptly when people leave.
- Report suspected compromise immediately to security@softraglobal.com.
6. Reporting a violation
Report abuse to legal@softraglobal.com, or security issues and vulnerabilities to security@softraglobal.com. Include the workspace, time, and what you observed.
7. Enforcement
Where use threatens the security, integrity, legality, or availability of the platform, we may remove content, restrict a feature, suspend a user or workspace, or terminate the subscription under the Terms of Service. We aim to notify the customer administrator first, except where immediate action is needed or notice is legally restricted, and we restore access once the cause is resolved.
